Getting started
6 answersWhat is FlipTrack UK?
FlipTrack is profit-tracking software for UK car sellers, car flippers and independent traders. It keeps each vehicle, purchase and preparation cost, receipt, DVLA and MOT record, sale income and final result together from purchase to close.
Who is FlipTrack for?
FlipTrack is built for UK car flippers, driveway traders, independent motor traders and small used car dealers who want to understand the true economics of every vehicle. The free plan supports up to three active vehicles.
Is FlipTrack a dealer management system?
No. FlipTrack focuses on deal analysis, vehicle costs, margin, ROI, capital and small-trader workflows. A full DMS is more suitable when a business needs multi-user sales CRM, dealer website management, finance workflows, workshop management or multiple branches.
Is FlipTrack suitable for used car dealers?
Yes, particularly small independent dealers whose priority is stock profitability rather than enterprise dealership infrastructure. Pro supports unlimited active vehicles and adds capital, VAT record, after-sales and operating tools.
Do I need to be a registered dealer?
No. FlipTrack can be used by private individuals, sole traders and small independent dealers. You remain responsible for following the legal, tax and consumer obligations that apply to your activity.
How do I add my first vehicle?
Choose Add in the workspace navigation, enter the registration for an automatic DVLA and MOT lookup, then confirm the purchase details. Manual entry is available when a registration cannot be matched.
Vehicles and profit
6 answersHow does the profit engine work?
Every cost and income item recorded against a vehicle updates its total investment, break-even point, projected margin, realised profit and ROI. The figures come from your records, so complete costs produce the most useful result.
What is the Vehicle Deal Room?
The Deal Room combines photographs, preparation planning, deal scenarios, maximum buying price, margin warnings, record completeness and the sold-deal review for one vehicle. Planning assumptions remain separate from recorded transactions.
What costs can I record?
You can record purchase price, auction fees, delivery, repairs, parts, labour, fuel, MOT, detailing, advertising, insurance allocation, administration, sale proceeds, platform fees and warranty come-backs.
Can I attach receipts and vehicle documents?
Yes. Receipts and vehicle documents are stored privately. Uploads are checked before storage, images are sanitised and unsafe PDFs are rejected.
Can I track buyer enquiries and offers?
Yes. Each vehicle has a buyer pipeline for contacts, advert sources, viewings, follow-ups, offers, deposits, part exchange and outcomes. Offer profit and ROI are shown against recorded costs.
What is a buyer vehicle pack?
A buyer pack assembles approved vehicle details, MOT evidence, completed work, photographs, price and seller contact information into a private link. You choose exactly what is shared before publishing it.
Vehicle data
4 answersWhat does the registration lookup provide?
Enter a registration and FlipTrack retrieves available vehicle details from DVLA plus MOT history and defect evidence from DVSA. Keeper names and addresses are never requested.
How do asking-price estimates work?
Enter the registration, mileage and a UK postcode in the sourcing workspace. FlipTrack checks comparable active UK adverts and returns an estimated retail asking price, evidence count and confidence level.
Is the asking-price estimate guaranteed?
No. It is a guide based on comparable advertised prices, not a guaranteed sale price, trade bid or formal valuation. Condition, specification, history, location and market movement can affect the amount achieved.
What if a registration is not found?
Check the plate without spaces. If no data is returned, the vehicle may be too old or the source record may be incomplete. You can continue with manual entry.
Subscription and billing
16 answersWhat is included with Free?
Free includes up to three active vehicles, complete cost and profit tracking, receipt photos, DVLA vehicle details, MOT history, asking-price estimates, browser reminders, per-vehicle record exports, HMRC summaries and unlimited Smart Listing Composer variations. Core preparation and buyer records remain included. Sold-vehicle history stays in the account.
What does Pro include today?
Pro includes everything in Free, unlimited active vehicles, Deal Guard, Profit Leak Radar, buying rules, advanced intelligence, reusable transaction templates and preparation workflows, guarded bulk operations, the Tax and Evidence Pack, a six-document sales suite, preparation and buyer follow-up automation, the Cash Flow and Capital Planner, warranty and after-sales case management, the VAT Margin Scheme workspace, daily action emails and a weekly operations report.
What can guarded bulk operations change?
Pro users can move selected active vehicles to another active stage, archive selected sold or closed vehicles, and correct the category or supplier on selected operating costs. The workspace does not bulk-delete records, change amounts or dates, alter purchase or sale transactions, or mark vehicles as sold.
What is the Tax and Evidence Pack?
It checks sold-vehicle records for purchase and sale values, supporting documents, buyer details and handover evidence, then exports an accountant-ready schedule by tax year. It is not tax advice, an HMRC submission or Making Tax Digital software.
What sales documents can Pro create?
Pro can assemble a sales invoice, vehicle order form, deposit receipt, part-exchange schedule, test-drive agreement and warranty and disclosure record from existing vehicle, buyer and transaction data. Every document must be reviewed before use.
How do the preparation and buyer automations work?
Preparation Autopilot flags overdue, blocked, urgent and uncosted work and lets you reuse proven task packs. The Buyer Follow-up Engine ranks due, overdue and stale conversations from the dates and statuses already recorded.
What is Deal Guard?
Deal Guard recalculates a vehicle and the active portfolio against a lower sale price, a preparation overrun and extra holding costs. It shows stressed profit and ROI, margin at risk, the required sale price and a maximum safe purchase price based on your rules.
What is the Cash Flow and Capital Planner?
It separates available operating cash from the reserve, monthly overheads, remaining vehicle costs and capital already tied in stock. Expected receipts are confidence-weighted and included only inside the selected forecast horizon.
How does warranty and after-sales case management work?
Pro records warranty, complaint, fault and return cases against sold vehicles. It keeps response dates, warranty expiries, customer and supplier updates and an immutable event timeline together. Genuine resolution costs can be added transactionally to the vehicle profit record.
What does the VAT Margin Scheme workspace calculate?
It records vehicle-level stockbook fields, eligibility blockers, scheme purchase and selling prices, gross margin and an indicative one-sixth VAT amount for eligible positive margins. It is a record-keeping aid, not tax advice, Making Tax Digital software or an HMRC submission.
What does the weekly Pro report include?
Every Monday, opted-in Pro accounts receive an operating summary covering active stock, capital deployed, projected profit, margin outside their rules, urgent profit leaks and the highest-priority vehicle actions. Daily action emails continue when reminders need attention.
What is being added next?
The next product priorities include team accounts and broader comparable-market intelligence. Roadmap items remain separate from current plan entitlements until released and verified.
How do I upgrade?
Open Billing from Settings, choose monthly or annual billing and continue to Stripe secure checkout. FlipTrack updates the account after Stripe confirms the subscription.
Can I cancel at any time?
Yes. Open Billing, then use the Stripe billing portal to cancel. Pro access remains available until the end of the paid billing period.
What happens to my records if I return to Free?
Your vehicles and transaction history remain in your account. If more than three vehicles are still active, you can continue reviewing existing records but must close or sell stock until the account is below the Free limit before adding another vehicle.
Does FlipTrack store my card details?
No. Checkout, card details, invoices and subscription changes are handled by Stripe. FlipTrack stores only the subscription identifiers and status required to provide the plan.
Privacy and support
4 answersIs my operating data private?
Yes. Vehicle, transaction and profit records are scoped to your account through database row-level security. Private files use short-lived viewing links.
Where is my data stored?
Account and operating data uses Supabase-managed database, authentication and private file storage infrastructure. The Privacy Policy explains providers, safeguards, retention and your rights.
How do I report a problem?
Signed-in users can use the feedback control inside FlipTrack so the report includes useful product context and replies remain attached. You can also email support@fliptrackuk.com.
Can I suggest a feature?
Yes. Use the in-app feedback control and choose Feature request, or email support@fliptrackuk.com. The public roadmap explains current direction without promising fixed delivery dates.
